Purpose of Position:

Responsible for managing a portfolio of properties which involves leasing activity, financial analysis, and strategic planning.  

Measures of Performance:

  • Client and Tenant Retention/Satisfaction
  • All managed properties operate within Owner and property budget guidelines
  • Management performance based on Standard Operating Procedures
  • New Business Development/Additional Revenue streams established 

Key Responsibilities:

Management

  • Conduct monthly visits with each tenant,
  • Ensure building engineers or vendors perform routine preventive maintenance programs on all building mechanical systems as well as common areas, tenant spaces, and grounds
  • Conduct monthly property inspections to view condition of properties
  • Supervise materials management and property/grounds maintenance
  • Administer new tenant leases and coordinate all move-ins including the new tenant welcome package
  • Oversee all tenant improvements and ensure all punch list items are complete
  • Oversee construction issues and the site project manager.  Interact with, coordinate, and serve as liaison between architects and general contractors during new construction and post-construction activities
  • Negotiate all contracts and maintain vendor-contracting relationships.  Solicit bids for maintenance contractors and construction projects, and participate in the contractor selection process
  • Oversee activities of contractors, vendor personnel, and suppliers.  Monitor contracts for compliance and control costs. Perform quality control inspections to ensure adherence to contract specifications and industry standards
  • Monitor all real estate taxes, payments and appeals
  • Ensure all tenant and contractor Insurance Certificates are kept current in the property management files
  • Ensure all Management Contracts are current and in the property management files
  • Ensure all vendor contracts are current and files are maintained
  • Implement and recommend controls and procedures to conserve utilities
  • Direct, coordinate, motivate and evaluate work performance of building employees and contracted workers
  • Implement and ensure adherence to company policies and procedures
  • Coordinate  all tenant renewals
  • Work closely with leasing agents to assist in high property tenant retention 

Financial Analyses

  • Approve all payables, monitor and manage the tenant lease receivables and tenant default situations while maintaining low rent delinquencies, or pursue appropriate action against non-paying tenants as approved by Owner
  • Develop and oversee the operating and capital budgets for each property per Owner requirements meeting the budget deadline of October 15th
  • Prepare annual estimated CAM escalation estimates for the upcoming year
  • Analyze and reconcile monthly financial statements and present to Owner by deadline as required by management agreement guidelines
  • Review and prepare monthly and quarterly Owner reports
  • Prepare the annual tenant CAM reconciliation by March 15th
  • Prepare and distribute all documentation with respect to rent adjustments, escalations, and direct tenant expenses
  • Ensure property adherence to lease agreements and record keeping/billing by accounting
  • Initiate all bill-backs to tenants 

Client and Customer Satisfaction

  • Maintain monthly contact with property owners and tenants
  • Conduct semi annual tenant appreciation functions
  • Receive tenant request and respond accordingly
  • Develop and implement prompt actions necessary to remedy concerns/problems associated with tenants and owners
  • Respond to all problems/complaints raised by tenants, employees, property owner and local jurisdictional agencies in knowledgeable and timely manner

Qualifications/Experience Required:

  • BA/BS
  • CPM/RPA or working towards a designation
  • Minimum of 3 years of experience in Property or Facility management
  • Managed portfolio revenue > $100,000 per year from management fees/reimbursements and > $7,500 per year in Project Management fees
  • Knowledge of property management and real estate principles, procedures, and standards
  • Proven ability to analyze and interpret the needs of tenants, contractors and employees and offer appropriate solutions
  • Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections
  • Knowledge of contracting process and associated local, state, federal, and other regulations
  • Utah Real Estate License
